All the wonderful things that happen in the Overview window of a job.
The overview window in detail.
- The Documents button. This button will open the documents window where you can link to files on your computer and web sites like Google map coordinates. (See below for a more detailed look.)
- The Tax Rate button sets the tax rate for this job and woks in conjunction with the Tax Method which is set initially in your preferences and specifically for the job under the Job menu.
- Print and envelope or job cover sheer.
- Once a job is deleted, it's gone forever.
- The job number is created automatically based on the preferences you have set in the Job Number preference of the Document Appearance section.
- The job nickname will automatically populate with the first part of the job description if you don't fill it out. Some people like to use a descriptive nickname to reference jobs. You can also print this name on the documents if you have the preference set in the Document Appearance section.
- The job description is the full description of the job and anything else you want to say that the client will see.
- The job status displays if the job is in an estimate or in an invoice stage - if the job is in an invoice stage the job status will display the age of the invoice.
- The tax method is set in the Job Menu. You can have the tax applied to individual line items or the overall sub-total of the job. You can also choose compounded taxation in this menu. Whatever tax options you choose they are for this job only.
- The first set of fields are the client info. If you change information here, it will updated in the contact's card in the address book.
- The second set of fields are custom fields that are global to the personality and can be modified in the Document Appearance section.
- The currency is automatically entered based on the country of your personality. You can change it for this job by clicking on the field.
- The agent's rate is automatically entered based on your settings in the Tax & Agent Rate section. You can change it for this job.
- The job markup is an overall markup on the job that is typically utilized by commercials production companies. You can set an auto enter default in the Tax & Agent Rate section.
Advanced features of the overview window.
- The Documents and Notes item corresponds to the Documents button which is covered below.
- The Change Order feature is being deprecated in favor of printing client requested changes from the production mod.
- Go to the contact card for the contact associated with this job.
- Assign a New Contact - if you have the wrong contact associated with this job you can assign a new one here.
- When the invoice balance is zero after receipt of the last payment, the job closes and locks. This is how you can unlock it manually if necessary.
- To change the job number of the job. This does not update the next job number field in the Job Number section of the Document Appearance.
- Assign to Personality if this job is linked to the wrong personality.
- If this job is a great starting point for a new job, duplicate it and save yourself some work.
- If you have an agent personality set up, this is how you create your agent invoice for your commission.
- The FCLP... item is used by Blinkbid support when there's a problem with a foreign language item catalog.
The documents and notes section.
The Documents section of the Overview window enables you to keep notes about the job, store links to documents on your computer as well as web links. After the the links have been established all you need to do is click on them to open the document in its native format or open the web page in your browser. When you print a production sheet for the job from the estimate window, you'll be prompted if you want to include the notes from this section on the production sheet.
Automatically update a contact's info from the overview window.
If you create a job for a contact and notice that their information is out of date, you can enter their new information like address, phone and email - and Blinkbid will ask you if you want to update the address book for each updated field. If the corresponding field on the contact card in the address book is empty Blinkbid will update it without asking. This is especially useful if you create the contact at the same time you create the job and you have to finish entering their information.
